Project Coordinator cum Project Purchaser

Job Summary

 

The Project Coordinator cum Project Purchaser will play a vital role in ensuring the smooth execution and completion of construction and engineering projects. This role combines responsibilities for project coordination, procurement, and administrative support in project meetings, encompassing logistical, purchasing, and documentation tasks to support project needs effectively and cost-efficiently. The successful candidate will oversee project schedules, coordinate resources, draft agendas and minutes, and ensure post-meeting follow-up on action items.

 

Key Responsibilities

 

Project Coordination:

  • Assist the Project Manager in planning, scheduling, and monitoring project progress.
  • Coordinate project activities across various departments to ensure alignment with project timelines.
  • Prepare and distribute project documentation, including schedules, reports, and progress updates.
  • Serve as the point of contact for internal teams and external clients, ensuring effective communication and addressing project-related inquiries.
  • Track project milestones, identify potential delays, and work with relevant teams to implement corrective actions.

 

Procurement & Purchasing:

  • Develop procurement plans for project materials and services, ensuring alignment with project specifications and budgets.
  • Source, negotiate, and manage contracts with suppliers to ensure timely delivery and cost-effective pricing.
  • Conduct market research to identify new suppliers and maintain a supplier database.
  • Review and assess supplier bids, ensuring compliance with quality and regulatory requirements.
  • Monitor and manage inventory levels to prevent project delays due to material shortages.

 

Meeting Management:

  • Act as the Secretary for project meetings, drafting agendas in coordination with the Project Manager and distributing them in advance to participants.
  • Take detailed minutes during meetings, recording key discussion points, decisions, and action items.
  • Distribute minutes and summaries promptly, ensuring clarity on action items, deadlines, and assigned responsibilities.
  • Follow up with team members to ensure completion of assigned tasks and provide reminders or escalation if required.

 

Financial and Risk Management:

  • Support budget tracking and report any variations to the Project Manager.
  • Work closely with the finance department to manage purchase orders, invoices, and payments.
  • Monitor supplier performance to ensure contractual obligations are met and address any issues related to quality, delivery, or cost.

 

Compliance and Documentation:

  • Ensure all procurement activities comply with company policies and industry standards.
  • Maintain accurate and organized records of project documents, purchase orders, and supplier contracts.

 

Continuous Improvement:

  • Proactively seek ways to improve procurement, project coordination, and meeting management processes.
  • Identify and implement cost-saving initiatives and risk mitigation strategies in collaboration with other departments.

 

Qualifications and Skills

 

  • Education: Diploma or Bachelor’s degree in Project Management, Engineering, Business Administration, or a related field.
  • Experience: Minimum of 2-4 years of experience in project coordination, procurement, and meeting management in the construction or engineering industry.
  • Technical Skills: Familiarity with project management software (e.g., MS Project) and procurement systems.
  • Communication: Strong interpersonal, negotiation, and written communication skills, with the ability to effectively communicate with stakeholders at all levels.
  • Organizational Skills: Excellent time management, multitasking, and problem-solving abilities.
  • Attention to Detail: High level of accuracy for managing documents, financial records, and meeting notes.
  • Follow-through: Strong follow-up skills to ensure action items are completed on time.
  • Adaptability: Ability to work in a fast-paced environment and manage multiple projects simultaneously.
